Job Summary
This position is responsible for efficiently assisting all sections of the Infrastructure Operation and Micro Services Divisions in performing the tasks necessary to ensure the effective operation of the division. More specifically, this includes general support of various division processes including special projects, disaster recovery; assist in RFP development, security compliance, project management, and Division planning activities. This position will also provide general clerical support to Operations, Micro Services Staff, and Managers. This support will include making copies, sending faxes, typing, filing, placing and tracking pc-pc and Epro orders, and distributing correspondence. The Infrastructure Administrative Specialist  reports directly to the Operations and Micro Services Managers.

Nature & Scope
This position assists infrastructure operations and Micro Services Staff in its role of support for the Information Technology areas of the Enterprise. This position will report to and take direction primarily from the Operations and Micro Services Managers. This position will also be responsible for assigned routine tasks that directly support other members of the division staff.

Workflow

This position has direct responsibility for ensuring that all assigned tasks are completed as efficiently as possible. Tasks will include receiving, sorting, stamping, and distributing mail; supporting special projects; managing the e-Pro process for the division; providing general clerical support for the division; supporting security compliance; and supporting the disaster recovery process.

Guidance

The Infrastructure Administrative Specialist is directly guided by the vision and goals of the Enterprise, the Enterprise mission statement, and the Managers of Infrastructure Operations and Micro Services.

Challenges

The overall dollar amounts managed by this division are significant, and as such, any mismanagement could potentially negatively affect the success of the Enterprise. Efficiency, timeliness, and accuracy are absolute requirements of this position.

Interfaces

This position reports directly to the Infrastructure Operations and Infrastructure Micro Services managers. Routinely interfaces with other members of the Enterprise, both within the division and external to the division.

Authority

The Infrastructure Administrative Specialist has the authority to continuously improve processes related to the performance of his/her duties. He/she also has the authority to interact with any appropriate individual in the Enterprise in the performance of his/her duties.


Minimum Job Requirements

1. Experience as a secretary or administrative assistant.

2. High school diploma required; some college or business school education preferred.

3. Experience in Microsoft Office, Word, Power Point and Excel.  Microsoft Access, VISIO and/or Microsoft Project experience is a plus

4. Excellent communication skills.

5. Strong interpersonal skills with dealing with complex and sensitive matters.

6. Minimum performance rating of Commendable on last two evaluations.

7. Working knowledge ITI and computer terminology preferred.

8. Understanding of and ability to organize and document workflows for internal processes preferred.

PRINCIPAL ACTIVITIES OR ACCOUNTABILITIES (Essential Functions of Job)
1. Receive, sort, stamp, and distribute incoming mail.
2. Schedule meetings and meeting rooms using OUTLOOK calendar SCHED.
3. Assist management and staff with special projects.
4. Assist in preparation and data gathering for the budget process.
5. Maintaining accurate and up-to-date files.
6. Completion of assigned divisional reporting needs.
7. Assist with follow-up correspondence on past due contracts and invoices when applicable.
8. Answer telephones as required by the Manager.
9. Perform as e-Pro and PC - PC interface for division procurement process.
10. Provide general clerical support to division staff, including the Manager.
11. Assist with the Disaster Recovery Plan update process.
12. Perform other job-related duties as assigned by the Manager.
13. Assist with IT related procurement activities including RFP development, bid management, and related correspondence.
